Understanding Project Fields

This article explains what each field means when creating or editing a project.

Project Name

What it is: The primary identifier for your project

Best practices:

  • Use clear, descriptive names

  • Include client name or location

  • Make it searchable (e.g., "Smith Kitchen Renovation" not "Project 1")

  • Keep it concise but informative

Where it appears: Project cards, project page title, reports, and throughout the app

Job Number / Invoice Code

What it is: A unique identifier used for tracking and invoicing

Best practices:

  • Use your company's numbering system

  • Keep it consistent across projects

  • Make it easy to reference in accounting systems

  • This field syncs with invoice codes automatically

Where it appears: Project cards, invoices, financial reports

Note: Job Number and Invoice Code are the same field - entering one automatically updates the other.

Description

What it is: Additional details about the project

Best practices:

  • Include project scope

  • Note special requirements

  • Add important context

  • Keep it concise but informative

Where it appears: Project overview, project cards (truncated)

Start Date

What it is: When construction work begins

Best practices:

  • Use actual start dates when known

  • Set tentative dates if planning

  • Update as plans solidify

  • Affects phase scheduling and timeline calculations

Where it appears: Project cards, calendar views, timeline calculations

Location

What it is: The project address or site location

Best practices:

  • Enter full address when possible

  • Include city and state

  • Useful for team coordination

  • Helps with logistics planning

Where it appears: Project overview, project cards

Budget

What it is: The total project budget

Best practices:

  • Enter realistic budget amounts

  • Update as estimates change

  • Track against actual costs

  • Use for financial reporting

Where it appears: Financial overview, project cards, budget reports

Note: Budget field is available when editing projects, not during initial creation.

Client Name

What it is: The name of the homeowner or client

Best practices:

  • Use full names when possible

  • Keep consistent formatting

  • Useful for filtering and searching

  • Helps with client communication

Where it appears: Project cards, project overview, client lists

Stage

What it is: The current phase of the project lifecycle

Stages:

  • Estimating: Planning and cost estimation

  • Pre-Construction: Finalizing plans, preparing to build

  • Building: Active construction work

  • Warranty: Post-completion warranty period

  • Completed: Project finished

Best practices:

  • Start new projects in "Estimating"

  • Update stage as project progresses

  • Some features are hidden in certain stages

  • Stage affects what tabs are visible
