Managing Tasks

Tasks help you track specific work items and assignments. Learn how to create, assign, and track tasks.

What are Tasks?

Tasks are specific work items within a project. They can be:

  • Assigned to team members

  • Linked to phases

  • Given due dates

  • Tracked for completion

  • Organized by priority

Accessing Tasks

  1. Open your project

  2. Click "Tasks" tab

  3. View all project tasks

Note: Tasks tab is available after project moves past "Estimating" stage.

Creating a Task

Step 1: Add New Task

  1. Click "Add Task" button

  2. Fill in task details:

    • Title: Clear, descriptive task name

    • Description: Details about the work

    • Assigned To: Team member responsible

    • Due Date: When task should complete

    • Priority: High, Medium, or Low

    • Phase: Link to building phase (optional)

    • Status: Pending, In Progress, Completed

Step 2: Set Task Details

  • Priority: Helps team focus on important items

  • Phase Link: Associates task with building phase

  • Due Date: Sets deadline for completion

  • Description: Provides context and instructions

Step 3: Save Task

Click "Create Task" to add it to the project.

Task Status

Tasks have three statuses:

  1. Pending: Not started

    • Default for new tasks

    • Shows in task list

  2. In Progress: Currently being worked on

    • Update when work begins

    • Shows as active

  3. Completed: Finished

    • Mark when done

    • Moves to completed section

    • Can be filtered out

Updating Status

  1. Open task

  2. Change status dropdown

  3. Or use quick actions on task card

  4. Status updates immediately

Assigning Tasks

Assign to Team Member

  1. Create or edit task

  2. Select "Assigned To" dropdown

  3. Choose team member

  4. Save task

Unassigned Tasks

  • Tasks can be unassigned

  • Show in "Unassigned" filter

  • Can be assigned later

Multiple Assignees

Currently, tasks assign to one person. For team tasks:

  • Create multiple tasks

  • Or assign to team lead who coordinates

Task Priorities

Priority Levels

  1. High: Urgent, important tasks

    • Shows with red indicator

    • Appears at top of lists

    • Use sparingly

  2. Medium: Normal priority

    • Default priority

    • Standard workflow

  3. Low: Can wait

    • Less urgent items

    • Can be deferred

Setting Priority

  • Set when creating task

  • Or update in task edit

  • Helps team focus efforts

Task Due Dates

Setting Due Dates

  1. Use date picker

  2. Select deadline

  3. System tracks overdue tasks

  4. Sends reminders (if configured)

Overdue Tasks

  • Highlighted in red

  • Show in "Overdue" filter

  • Update due date or complete task

Linking Tasks to Phases

Why Link Tasks?

  • Organize work by phase

  • See phase progress

  • Filter tasks by phase

  • Better project organization

How to Link

  1. Create or edit task

  2. Select "Phase" dropdown

  3. Choose building phase

  4. Save task

Phase Progress

  • Phase shows linked tasks

  • Completion affects phase status

  • Helps track phase progress

Task Views

List View

  • All tasks in one list

  • Shows: Title, assignee, due date, status, priority

  • Easy to scan

  • Default view

Filtering Tasks

  • By Status: Pending, In Progress, Completed

  • By Assignee: See your tasks or all tasks

  • By Phase: Filter by building phase

  • By Priority: High, Medium, Low

  • Overdue: Tasks past due date

Sorting Tasks

  • By due date (default)

  • By priority

  • By assignee

  • By phase

  • By status

Completing Tasks

Mark Complete

  1. Open task

  2. Change status to "Completed"

  3. Or use quick complete button

  4. Task moves to completed section

Reopening Tasks

  1. Find completed task

  2. Change status back to "Pending" or "In Progress"

  3. Task returns to active list

Using Templates

  • Create tasks from templates

  • Pre-filled with common information

  • Saves time on repetitive tasks

  • Templates managed by admins

Task Comments

Adding Comments

  1. Open task

  2. Scroll to comments section

  3. Type comment

  4. Click "Add Comment"

  5. Team members see updates

Comment Features

  • Timestamped

  • Shows author

  • Can mention team members

  • Useful for updates and questions

Task Notifications

When You're Notified

  • Assigned a new task

  • Task due date approaching

  • Task marked complete

  • Comments added to your tasks

Notification Settings

Configure in your profile settings:

  • Email notifications

  • In-app notifications

  • Notification frequency

Tips

  • Use Clear Titles: Make tasks easy to understand

  • Set Realistic Due Dates: Account for dependencies

  • Link to Phases: Better organization

  • Update Status Regularly: Keep progress current

  • Use Priorities Wisely: Don't mark everything high

  • Add Descriptions: Provide context for assignees

Common Questions

Q: Can I assign a task to multiple people?
A: Currently, tasks assign to one person. Create multiple tasks or assign to coordinator.

Q: What happens to tasks when a phase completes?
A: Tasks remain active. Update status manually or they'll show as incomplete.

Q: Can I create recurring tasks?
A: Not currently. Create new tasks for recurring work.

Q: How do I see all my assigned tasks?
A: Filter tasks by "Assigned To: Me" or check your dashboard.
