Daily Workflow Guide

A step-by-step guide to using BuilderHelp in your daily work routine.

Morning Routine

1. Check Daily Briefing

Start your day by reviewing the Daily Briefing:

  1. Open Dashboard

  2. Review Daily Briefing card

  3. Check:

    • Today's tasks

    • Upcoming deadlines

    • Deliveries scheduled

    • Phases running behind

    • Important events

Tip: Bookmark the dashboard for quick access.

2. Review Project Updates

  1. Check Projects page

  2. Look for:

    • Projects needing attention

    • Status changes

    • New messages or updates

    • Overdue items

3. Prioritize Your Day

  1. Open Tasks tab in relevant projects

  2. Filter by "Assigned To: Me"

  3. Sort by priority and due date

  4. Focus on high-priority, due-today items

During the Day

Updating Task Progress

As you complete work:

  1. Open project

  2. Go to Tasks tab

  3. Find your task

  4. Update status:

    • In Progress: When you start

    • Completed: When finished

  5. Add comments if needed

  6. Save changes

Tip: Update tasks in real-time for accurate tracking.

Logging Phase Progress

When phases advance:

  1. Open project

  2. Go to Schedule β†’ Phases

  3. Find the phase

  4. Update status:

    • In Progress: Work has begun

    • Completed: Phase finished

  5. Set actual dates

  6. Add notes about progress

  7. Save changes

Processing Invoices

When invoices arrive:

  1. Check Financial β†’ Processing tab

  2. Review auto-detected invoices (if Gmail connected)

  3. Or manually create invoice:

    • Click "Add Invoice"

    • Enter details

    • Link to phase/budget

    • Upload PDF

  4. Save invoice

Adding Materials/Orders

When ordering materials:

  1. Go to Materials tab

  2. Create material request

  3. Or add to inventory

  4. Create order if needed

  5. Track delivery dates

Document Management

When documents arrive:

  1. Go to Documents tab

  2. Upload files:

    • Plans/Drawings

    • Photos

    • Specifications

    • Contracts

  3. Organize by category

  4. Share with team if needed

End of Day

1. Update Project Status

  1. Review completed work

  2. Update phase statuses

  3. Mark completed tasks

  4. Update project notes if needed

2. Plan Tomorrow

  1. Check tomorrow's schedule

  2. Review upcoming deadlines

  3. Identify priorities

  4. Prepare materials/orders needed

3. Communication

  1. Check Messages tab

  2. Respond to team messages

  3. Send updates to clients (if owner)

  4. Update project status

Weekly Routine

Monday: Week Planning

  1. Review all active projects

  2. Check week's schedule

  3. Identify critical phases

  4. Plan resource allocation

  5. Set weekly goals

Mid-Week: Progress Check

  1. Review phase progress

  2. Check task completion rates

  3. Review budget vs actual

  4. Identify any issues

  5. Adjust plans if needed

Friday: Week Wrap-Up

  1. Complete weekly tasks

  2. Update all phase statuses

  3. Review financial status

  4. Prepare next week's plan

  5. Send client updates (if applicable)

Monthly Routine

Beginning of Month

  1. Review previous month's performance

  2. Check financial reports

  3. Plan month's phases

  4. Set monthly goals

  5. Review team capacity

End of Month

  1. Complete monthly reports

  2. Review budget performance

Common Workflows

Starting a New Phase

  1. Review phase plan

  2. Assign team members

  3. Create tasks for phase

Completing a Phase

  1. Finish all phase work

  2. Complete all linked tasks

  3. Update phase status to "Completed"

  4. Set actual end date

Processing Vendor Invoice

  1. Receive invoice (email or paper)

  2. Create invoice in system

  3. Link to phase/budget
