Viewing Projects

Projects Page

The Projects page shows all your projects in three view modes:

  1. List View (default)

    • Compact cards with key information

    • Easy to scan multiple projects

    • Shows: Name, job number, stage, dates, location, client

  2. Grid View

    • Larger cards with more details

    • Better for visual browsing

    • Shows: Name, description, stage badge, team members, quick actions

  3. Calendar View

    • Timeline visualization

    • See projects by month, 3-month, or 6-month periods

    • Shows phases and milestones on calendar

Filtering Projects

  • By Stage: Filter by Estimating, Pre-Construction, Building, Warranty, or Completed

  • By Search: Search by project name, client name, or job number

  • Calendar Filter: Filter calendar view by stage

Creating a New Project

  1. Click "Create New Project" button

  2. Fill in required fields:

    • Project Name

    • Start Date

    • Stage

  3. Add optional information:

    • Job Number/Invoice Code

    • Description

    • Location

    • Job Template

  4. Click "Create Project"

Editing a Project

From Projects Page

  1. Find your project in the list

  2. Click the Edit icon (pencil) on the project card

  3. Update any fields in the edit modal

  4. Click "Save Changes"

From Project Page

  1. Open the project

  2. Click "Edit" button in the header

  3. Update fields inline

  4. Click "Save" when done

Note: Only admins can edit projects.

Project Information

Each project includes:

  • Basic Info: Name, description, location, dates

  • Financial: Budget, invoices, payments

  • Team: Builders, owners, assigned members

  • Schedule: Phases, tasks, milestones

  • Documents: Plans, photos, files

  • Materials: Inventory, requests, orders

Project Stages

Projects progress through stages:

  1. Estimating: Initial planning

    • Create project

    • Set budget

    • Plan phases

    • Some tabs hidden

  2. Pre-Construction: Finalizing plans

    • All tabs available

    • Set up phases

    • Assign team

    • Upload documents

  3. Building: Active construction

    • Track progress

    • Update phases

    • Log tasks

    • Process invoices

  4. Warranty: Post-completion

    • Track warranty items

    • Final documentation

    • Client communication

  5. Completed: Finished

    • Archive project

    • Final reports

    • Historical reference

Advancing Stages

  1. Open project

  2. Click "Advance Stage" button

  3. Confirm the stage change

  4. System updates project and unlocks new features

Deleting a Project

Warning: Deleting a project removes all associated data.

  1. Open project

  2. Click "Delete Project" (admin only)

  3. Type project name to confirm

  4. Click "Delete"

Note: Consider marking projects as "Completed" instead of deleting.

Project Cards Information

Project cards display:

  • Project Name: Main identifier

  • Job Number: Tracking code (if set)

  • Stage Badge: Current stage with color coding

  • Description: Project details (truncated)

  • Client Name: Homeowner/client name

  • Location: Project address

  • Dates: Start and end dates

  • SPI Card: Schedule Performance Index

  • Team Members: Assigned builders

  • Owners: Project owners/clients

Quick Actions

From project cards:

  • View: Click card to open project

  • Edit: Click edit icon (admin only)

  • Delete: Click delete icon (admin only)

Tips

  • Use Consistent Naming: Makes projects easier to find

  • Add Job Numbers: Helps with accounting and tracking

  • Update Stages: Keeps projects organized and unlocks features

  • Add Descriptions: Provides context for team members

  • Set Locations: Helps with logistics and coordination

Common Questions

Q: Can I archive old projects?
A: Mark them as "Completed" stage. They'll remain accessible but won't clutter active project lists.

Q: How do I duplicate a project?
A: Create a new project and manually copy information, or use templates if available.

Q: Can I change a project's start date?
A: Yes, edit the project and update the start date. Phases will recalculate if needed.

Q: Who can see my projects?
A: Projects are company-wide. All team members in your company can see projects, but only admins can edit.
